Main Job Purpose:

  • Responsible for coordinating and managing projects in conjunction with other project managers and administrative and sales staff to ensure successful completion
  • Report on project status of each project being managed
  • Responsible for more than one project at a time
  • Understand all related legislative and SETA processes

Key Performance Areas (KPA’s core competencies):

Ensure that the following competencies are met in terms of project coordination and management

Project Management:

  • Understand all related legislative and SETA processes
  • Efficiently roll out given projects as per the processes and timelines
  • Ensure that the Facilitators, Assessors and Moderators understand the scope of work and timeous delivery for each project
  • Attend status meetings with the Senior Project Manager to update and discuss the progress and challenges of projects
  • Ensure that the Learnership Status Report is always up to date
  • Assess budget and costing per project
  • Collect and check all trainer payment documentation
  • Monitor payments to Facilitators, Assessors, Moderators, Sub-contractors and all creditors
  • Ensure that project files are in order
  • Quality assure project files, learner files and all other learner documentation thus ensuring a high quality and standard to pass internal and external moderations
  • Ensure all suggestions and remediation are addressed as identified in assessor and moderation reports
  • Ensure that training only commences when learners are registered with the respective SETA’s and proof of registration has been received
  • Ensure learner terminations, drop-offs and resignations are reported to the project administration team
  • Ensure all Facilitators/Trainers, Assessors and Moderators follow procedures as per client requirements, agreement, quality standards and follow Company protocol in line with both client and Training Force
  • Ensure that the Facilitators, Assessors and Moderators adhere to all safety regulations as per client specification and standards applicable to the Occupational Health and Safety regulations
  • Oversee daily operational requirements, monitor Facilitators and Assessors attendance and delivery of training material
  • Monitor learner attendance
  • Perform any other reasonable request as requested by management
  • Always adhere to the Company’s Quality Management System (QMS)
  • Visit training and host sites regularly and complete relevant documentation

Planning and Problem Solving:

  • Draw up and agree training schedules with the clients and trainers
  • Request and ensure timeous feedback reports from Facilitators, Assessors and Moderators
  • Submit relevant reports to clients and file reports for the Company’s and SETA compliance processes
  • Identify and manage potential and actual issues and risks, keeping the Senior Project Manager informed by taking corrective action and attending to day-to-day issues and reviewing the seriousness of the issues and risks that might impact on the scope, schedule, quality and cost

Communication, Team Management and Organizing Tasks:

  • Control of equipment and materials pertaining to the projects
  • Build a relationship with Facilitators, Assessors, Moderators to ensure prompt and above average delivery with regards to planning, implementation and reporting
  • Ensure Facilitator and Assessor orientation takes place on all new projects and accredited programmes
  • Monitor the generating of various documents pertaining to projects, including learner agreements, training schedules, learner records, attendance registers, trainer time sheets, invoices and client feedback reports
  • Ensure all internal learner administrative processes are updated and completed

Inherent Requirements:

  • Matric
  • Relevant tertiary qualification
  • Minimum 2 years’ experience in Project Management within Learnerships
  • Knowledge and understanding of all related legislation and SETA processes
  • Excellent communications skills (both written and verbal)
  • Computer literate (MS Office – advance excel)
  • Valid driver’s license and own reliable car (willing to travel)
